Provider - Data Snapshot Request Status

The Data Snapshot Details screen is displayed in sections.

Schedule Snapshot

The first section of the page allows the Data Provider to request and schedule data snapshots for specific dates.

The Scheduled date must be at least one day in the future.

Options to restrict the set of data based on:

  • Filesource
    • The Data Provider can choose a filesource to restrict the extract to using the drop down selection
      • Note: Only the filesources associated with the Data Provider will be
        available for selection.
  • Carriage Service Provider code (CSP Code)
  • Data Provider code (DP Code)
  • Connected Only
    • Records with a service status code of Disconnected will not be included in the extract
  • Exclude Valid Code Combinations
    • Only records with invalid combinations of Filesource, CSP, Data Provider codes
  • Soft errors only
    • Only records with soft errors will be extracted
  • A specific set of Public Numbers
    • These will only be extracted if the Data Provider is authorised to see them
    • A maximum of 360 comma separated Public Numbers can be entered up to 4K in length which ever occurs first
    • Alternately you can copy and paste from a list of numbers (e.g. text file, Excel column) which will be treated just like comma separated numbers
    • Care: if the numbers input are copied from a single line, then commas must separate the numbers. Only numbers each on a new line (e.g. Excel column), do not need commas to separate them

Note: Selecting of any limiting option other than Filesource will be reflected in a different report type and sequence. Only unlimited full extracts will have the RU File Type
If "Soft Errors Only" is one of the conditions, the report will be of type SE otherwise the report will be of type SC.

Snapshots may be scheduled on a recurring basis using the drop down box.

When the "Schedule data refresh" is pressed;

  • The scheduled snapshot is displayed in the "Data Snapshots Request Status" part of the page with the appropriate status.

or;

  • The extract is referred to the IPND Manager via email to authorise because the limit on the number of allowed extracts has been exceed
  • The extract is disallowed because it is scheduled for less than a day or more than a year from the current time.

Data Snapshot Request Status

If no requests have been submitted, "No data found" is displayed.

If request(s) have been submitted, the following fields are displayed:

  • Filesource
  • Date
    • Scheduled date
  • Criteria
    • Details any criteria that was specified when the request was submitted e.g. Connected records, postcode limits, number limits.
  • Status - can be;
    • Requested
      • Indicates that the snapshot request is awaiting approval from the IPND Manager.
    • Scheduled
      • Indicates that snapshot is accepted and awaiting processing.
    • Queued
      • Indicates that the request is in progress
    • Rejected
      • Indicates that the request has been rejected by the IPND Manager
        • The request can be rejected for a number of reasons. Please contact the IPND Manager for further information.
    • Deleted
      • The request has been deleted prior to being run.
  • Delete button
    • Option to delete a scheduled request.
      • When selected, a pop-up confirmation window will be displayed.

Requests are displayed in ascending order on the Date ( Scheduled date) column. No sorting is possible on this screen.
Only 12 months of scheduled data is displayed.

Data Snapshot History

If Data Snapshots have been run for the Data Provider, the following information is displayed:

  • Filesource
  • Type
    • DPS - Data Provider Snapshot
    • DCS - Data Consumer Snapshot
  • File name
  • Number of records
  • Number of files generated
  • Generated date
  • Files downloaded
    • Number of files downloaded
  • Downloaded date
  • Status
    • Generated - available for download
    • Downloaded - status is set to downloaded when ALL the files in the snapshot have been downloaded.

Data is sorted on Date generated (latest first) by default.
Sorting is available by :

  • File name
  • Generated Date
